What is SMTP email in TradieTally?
SMTP is the standard way email gets sent across the internet. Almost every email provider supports it. Connecting your provider’s SMTP details to TradieTally means your quotes and invoices go out from your real business address — for example, quotes@yourbusiness.com.au — rather than from a system address your customer has never seen.
If your email is on Gmail, the Gmail integration is simpler to set up. SMTP is for everyone else.
Why send from your business domain?
It looks like a business, not a side job
An email from your own domain tells a customer you’re an established operation. It matches your van signage, your website and the logo on your quote template.
Replies land where you’ll see them
A customer reply goes to your usual inbox. You don’t have to check a separate system to find out the job’s been accepted or that they want an extra double GPO added.
Fewer emails in junk
When an email comes from your own domain through your provider’s mail server, it lines up with the address the customer expects. Your email host’s own settings play a part in deliverability too, so it’s worth asking them if your messages often land in junk.
What can you send through SMTP?
- Quotes — built in TradieTally with material, labour and custom line items, with your margin checked before you send. See quoting software.
- Invoices — raised from an accepted quote or from scratch, with a PDF attached and a public invoice link. If you’ve connected Stripe, the invoice includes a Pay Now link.
- Updated quote versions — when the customer asks for a change, send the revised version from the same address.
Is SMTP hard to set up?
It’s a five-minute job if you have the details in front of you. You need the outgoing server name, port, security type, username and password. Your email host lists these. Some providers ask you to create a separate app password for third-party sending — if so, use that rather than your normal login password.
Who is SMTP for?
Electricians, security technicians and A/C businesses who already have email on their own domain and don’t use Gmail. If you’re using an email address from your web host, a business email service or your IT provider, SMTP is the option to choose.
What does it cost?
Nothing extra. Email sending through Gmail or SMTP is included on every plan. See pricing, or start the 21-day free trial — no credit card required.

SMTP email integration FAQs
Where do I find the SMTP server and port for my business email?
Your email host publishes them, usually in a help article titled something like 'SMTP settings' or 'set up email in an email app'. If someone else manages your domain or website, ask them for the outgoing mail server details.
Why did my SMTP test email fail to send from TradieTally?
The most common causes are a wrong port or security setting, a typo in the password, or a provider that requires an app-specific password. Re-check each field against your host's instructions. If it still fails, contact support@tradietally.com.au.
Can I use a shared address like accounts@ for invoices from TradieTally?
Yes, as long as that mailbox can send via SMTP. Many businesses send invoices from a shared accounts address so payment questions go to whoever handles the books.
